How do I set up my CRM integration via SFTP?

Before you begin – confirm CRM admin permissions

✅ Ensure you have CRM admin permissions on the CollegeVine platform. If you can't see the “CRM” tab, contact your CollegeVine Customer Success team for access.

Gather required information

For security reasons, do not share the following details with us, but keep them handy for setup:

  • SFTP server host
  • SFTP server port
  • SFTP server username
  • Directory/folder name in your SFTP server for file placement

Whitelist IP addresses

Add these IP addresses to your whitelist to enable data transmission from CollegeVine:

  • 52.5.38.201
  • 52.7.247.138

Create an integration on CollegeVine

  • Go to www.collegevine.com/recruit
  • Log in if needed
  • Navigate to CRM: click on the "CRM" menu item at the top of the page.
  • Create a New Integration:
    Select the "New integration" button to start setting up a new endpoint.

Set up SFTP

Select SFTP Type:

  • In the "Type" input box, choose "SFTP."

Enter SFTP Server Details:

  • Host Name: Input the hostname of your SFTP server (omit protocol or path).
  • Port: Enter the port number your SFTP server uses.
  • Directory: Select the directory/folder where the CV file will be placed.

Proceed to Credentials:

  • Click the "Continue" button to go to the “Credentials” section.

Input Credentials:

  • Username: Provide the username for SFTP authentication.
  • SSH Key: Generate and paste the SSH Key into the field.

Test and Save:

  • Click "Test connection" to ensure proper connection.
  • After successful testing, click "Save."

What to expect after set-up

✅ Daily CSV Delivery:
Once set up, daily CSV files will be delivered to your SFTP server at 7 a.m. ET.

The CSV format matches the one available in the connections dashboard. For a format preview, use the "Export as CSV" button on the connections page.
