What’s the Commons?

FAQs

How can I get registered?

Complete the Request to Attend form on this page. Submitting a request does not guarantee your spot: Commons Texas is limited to a small group of Texas leaders, and attendees are confirmed to ensure a high-quality peer experience.

If confirmed, the CollegeVine team will reach out with next steps. Please respond within two weeks of confirmation to secure your place.

When is the last date I can RSVP?

The registration deadline is April 10, and confirmed attendees will receive full event details.

Once confirmed, travel should be arranged within two weeks to hold your place.

Spots are limited and will fill on a rolling basis, so we recommend submitting your request early.

Who else will be there?

Commons Texas brings together a select group of university leaders from across the state — people navigating the same institutional pressures, at the same level of responsibility.

Confirmed speakers and participants will be announced in the weeks leading up to the event, so keep checking the website!

Can I bring a plus one?

Commons Texas is limited to senior higher education leaders to maintain an intentionally curated, focused format that maximizes learning and collaboration. We’re not able to accommodate attendees outside that profile.

If you’d like to invite a colleague who fits the attendee profile, please include their information in the “Referrals” section of the registration form—they’ll need to submit their own request to attend.

Personal guests are welcome to remain on-site, but Commons programming and sessions are closed to non-registered attendees.

What if I am traveling with family or a significant other?

You're welcome to bring family or a partner to Austin. The LINE is a wonderful property in downtown Austin with easy access to explore South Congress, Rainey Street, the famous Bat Bridge, and the rest of the city.

All programming, meals, and event costs are exclusive to registered attendees. Hotel room costs for additional guests are the responsibility of the attendee.

What do I do if my institutional policies prevent me from receiving gifts?

Commons Texas is a professional development experience — structured sessions, peer learning, and strategic planning around AI in higher education.

We've worked with partner institutions to ensure the program qualifies as a learning and development opportunity. If your institution has specific gift or hospitality policies, reach out to us and we'll work through it with you.

Do you provide a justification letter?

Yes. If it would help with your institution's internal approval process, we can provide a sample justification letter. Email commons@collegevine.com and we'll send one over.

Who should I contact with questions?

Email commons@collegevine.com with any questions. A member of the CollegeVine team will follow up directly.

What's the best way to prepare?

No advance work is required. Your experience and perspective are the preparation.

If you'd like context on CollegeVine's work in Texas ahead of the event, our team is happy to connect beforehand.

Will there be downtime during the event?

Yes. The format includes structured sessions, peer breakouts, networking, and intentional space between them.

The welcome dinner the evening before is unstructured by design to kick off the Commons with connection and discussion. The full-day session includes breaks and a group lunch.

What time should I arrive and when do I depart?

Check-in opens at 12:00 PM on April 20. Programming begins that evening with an optional networking mixer, followed by the Opening Keynote at 5:30 PM. Please plan to arrive by 5:00 PM at the latest. If you’re traveling from outside Austin, we recommend arriving the afternoon of Day 1 so you have time to settle in before the evening program.

Programming closes at 3:15 pm on April 21st, so please coordinate your travel accordingly.

What's the attire?

Business casual. Austin in the spring runs warm during the day with cooler evenings — a light layer for the outdoor reception at P6 is a good idea.

Speakers

Confirmed speakers include AI-pioneering leaders from Texas institutions and industry experts. More speakers will be announced soon, so check back for the latest lineup!
